Convention & Hotel Policies


VCON is an inclusive, family-friendly convention, and a safe and welcoming environment for anyone interested in science, science-fiction, and/or fantasy, or related fandoms and communities. We expect all attendees to treat each other with common courtesy and respect.

VCON does not permit harassment in regards to gender, gender expression, sexual orientation, dress, age, race, religion or lack thereof, disability, or involvement/non-involvement in any group or activity at any VCON event or venue.

Harassment includes any behavior that annoys, alarms, demeans, or threatens another person or group. Harassment includes (but is not limited to) verbal comments, the use of overly sexual imagery in public areas, intimidation, stalking, unwelcome photography or recording, inappropriate physical contact, unwanted sexual attention, and the disruption of events or activities. If someone asks you to stop or to leave them alone, do so immediately. Continuing contact with that person may be considered harassment.

If you feel you are being harassed, fear for your safety, or witness someone harassing others, contact a VCON staff member or volunteer immediately. All harassment reports will be investigated and dealt with thoroughly, with consequences including, but not limited to, the revocation of membership without refund, ejection from the site, or the involvement of local authorities.

It’s in our best interests, and our responsibility to keep VCON a friendly, open environment where every person is free to enjoy their attendance and express their love and enthusiasm for any and all sci-fi and fantasy fandoms. Together we can maintain VCON’s reputation for openness, inclusiveness, and mutual respect.

Did we mention, harassment is actually a criminal offense? (Section 264, Criminal Code of Canada) Sure, it’s not nice to harass someone, but it can also result in jail time for the perp.


ALCOHOL. Alcohol can only be consumed in the restaurant, bar, hospitality suite, alcohol designated event room (if any) or within the privacy of your (or another’s) guest room or suite. You are not allowed to wander the halls, stairwells, elevators or function rooms with open drinks. If you do, the drinks will be confiscated.


FOOD. Unless otherwise noted, you must consume any food in the room where you first acquired it. For example, you must finish your snack before you leave hospitality.


WEAPONS refer to toy or replica items. Genuine weapons are of course prohibited (not to mention illegal). If worn as part of a costume they must be bonded, i.e. sealed in a sheath or otherwise secured in such manner so as not to be in anyone’s way.

Weapons must remain bonded at all times. The only exceptions are in the privacy of your own room, during participation in the Masquerade, or as part of a scheduled demo included in the programming.

If you purchase a replica in the Vendor’s Hall (sword, dagger, etc.) it must remain sheathed or packaged while being transported through the hotel corridors to your room or vehicle.

To sum up, “If it’s drawn, it’s gone.” Please act responsibly.


NOISE should not get out of hand to the point of management receiving complaints from other guests. If you have guests in your hotel room, please keep the noise down. We want to be able to come back to this hotel next year.

Out of courtesy to VCON members trying to sleep, and to non-VCON guests (the ones most likely to complain), please keep noise down to a reasonable level between the hours of 10:00 PM to 9:00 AM.

For that matter, extreme and excessive noise is unpleasant at any hour. Remember, you are a guest, and so is everyone else. All deserve equal respect and courtesy.


PHOTOGRAPHY. Please do not photograph, film, tape or record any person without their express permission, unless they are participating in programming. Above all, please limit any use of flash photography. It can be very distracting.

The convention, however, reserves the right to photograph attendees, in particular, if you are doing something notable such as participating in programming or wearing a costume. We will use those pictures to promote future events. We promise that we will not use those pictures for any commercial or unethical purpose. If you do not want us to use pictures of you, you must inform us of this.


CELL PHONE USE. Phone conversations during programming will make you extremely unpopular. People are there to hear the speakers, not you. Please take it outside.
